1 General Participation is open to individual exhibitors and groups of exhibitors who are in a position to contribute directly to the subject area of the exhibition. Groups of exhibitors are kindly requested to nominate a responsible representative who is authorised to sign and who will accept the responsibility and liability of the group towards the event organiser (FMCE Africa) must be informed of each individual sub-exhibitor of the group stand. The event organiser must approve each individual sub-exhibitor and will confirm their participation in writing. Should the exhibitor accommodate a sub-exhibitor or a company which is additionally represented, without the permission of the event organiser (written confirmation), this shall be grounds for dissolving the contract without notice and to have the stand space vacated at the exhibitor’s risk and expense. Sub- exhibitors are companies within groups and subsidiaries or with their own products and their own personnel that use the stand area of the main exhibitor. The event organiser will be entitled to decide on the allocation of exhibition space, the execution of instructions concerning the building of the stands and passages, and on all required safety measures. Any exchange of space between two exhibitors will be subject to the approval of the event organiser. The contract becomes effective upon receipt of the completed and signed booking form and legally binds both parties to the contractual duties of the terms and conditions, unless it is annulled in writing by the event organiser. Within a week of receiving the signed booking form, a confirmation of receipt will be sent either by e-mail or by fax; therefore it is compulsory to specify correct contact details in the booking form. The conference is hosted by FMCE Africa which reserves the right, at its sole discretion and without further explanation, to limit or deny access to any entity or individual to the said conference. When registering for any of FMCE conferences, applicants waive the right to appeal against any decision made by FMCE Africa to refuse or limit access to the conference.
2 Cancellation of contract
2.1 Cancellation by exhibitor The exhibitors’ application is considered binding. The exhibition contract becomes effective with the receipt of the completed and signed booking form as stated under paragraph 1. Once they have submitted a binding application form, applicants cannot be discharged from their contractual duties. Exhibitors who cancel their participation by registered mail up to 12 weeks prior to the first day of the conference will be charged 50% of the full stand rental fee. Thereafter the full amount is payable. With the cancellation exhibitors renounce their booth.
2.2 Cancellation by the event organiser If the event organiser, for whatever reason, except for Force Majeure, fails to fulfil its contractual obligation concerning the allocation of exhibition space, the exhibitor will be entitled to reimbursement of the full amount of rent paid.
3 Force Majeure Cases that fall under the category of Force Majeure are defined as war or riots, natural catastrophes or fire, epidemics or quarantine, strikes or lockouts, government sanctions or similar circumstances.
3.1 Cancellation of the event If the event organiser is prevented from pursuing its contractual obligations for reasons beyond its control that fall under the category of Force Majeure (as defined above), both parties are exempt from its contractual obligations. The event organiser will immediately inform the exhibitors should a case of Force Majeure occur. In any cases of a Force Majeure, all claims from any Exhibitors or Sponsors to the stand rental become void. The event organiser will claim costs for already incurred expenses as well as administration costs for work done. Moreover, FMCE will not accept any liability for any losses and/or damages due to a force majeure, thus the exhibitor has no claim to compensation.
3.2 Rescheduling of the event If the event organiser is in a position to hold the event at a later date, it must notify exhibitors immediately. Exhibitors are entitled to cancel their participation in the event that is rescheduled, provided that this cancellation is made within a week following receipt of the notification. In such cases, all claims to the stand rental become void. However, the event organiser will claim costs for already incurred expenses as well as administration costs for work done. Moreover, the exhibitor has no claim to compensation.
3.3 For events that have already commenced If the event organiser is obliged to shorten or cancel an event that has already begun, due to cases of Force Majeure, exhibitors are not entitled to assert claims for reimbursement or for exemption from the stand rental charges.
4 Allocation of exhibition space The event organiser will allocate the stands and try, wherever possible, to comply with the requests of the exhibitor. However, the event organiser cannot guarantee that all wishes will be fulfilled.
5 Construction of your stand - FMCE will not provide you with a stand build up service ahead of the exhibition. However, if you have a requirement stand build up services for the exhibition, please contact us at least one month before the event. Your stand builder will need additional information and different rules may apply. FMCE must be provided with a sketch of the stand. The final sketch of the stand needs to be approved by the event organiser as well as the venue.
6 Catalogue - The exhibitor’s profile and contact details will be listed in the exhibition catalogue. The fee for the catalogue entry is obligatory. The catalogue will be distributed during the exhibition.
7 Payment All fees are payable in Pula currency. The sponsorship, exhibition space that is not part of the sponsorship package and additional charges are payable as indicated on the invoice. The amount due, the deadline and payment method are specified on the invoice. Credit card payment (VISA or MasterCard) will be accepted up to the invoice amount of P15.000 without charge. FMCE Botswana reserves the right to refuse access to the exhibition spaces that have not been paid. FMCE Botswana does not accept payment by cheque.
8 Transport and delivery of exhibits - Exhibitors are free to employ their own forwarding agent. The event organiser shall not be held liable for loss or incorrect delivery or return of materials. The storage of crates or any other kind of packing material in the stand and in the exhibition halls is not possible because of fire regulations.
9 Advertising during the exhibition - Advertising is only permitted within the allocated exhibition space. Any exhibits / displays outside this allocated exhibition space will be subject to written approval from the event organiser. In the interests of all exhibitors, distributing flyers and other advertising material outside the stand will not be tolerated. The event organiser is entitled to prohibit unauthorised advertising without judicial order.
10 Liability and insurance Exhibitors must be insured against fire and theft. The event organiser will not be held liable for any loss of or damage to exhibits or equipment, for instance through fire or theft, regardless of whether this damage or loss is sustained prior to, during, or after the exhibition. The event organiser can only be held liable for damages caused deliberately or due to gross negligence by the event organiser, its employees, legal representatives or auxiliary persons. Liability for slight negligence is excluded. The exhibitors on their part will be held liable for any damage to persons or objects caused by them, their employees, and their representatives or by their exhibits or items of their equipment. The exhibitors also carry the full risk for their stand and exhibits.
11 Security and cleaning the exhibition area will be guarded on conference days between 19:00 and 8:00. However, no liability will arise from this for the event organiser. The daily cleaning of the passages in the exhibition halls will be arranged by the event organiser and is included in the rent.
12 Electricity The cost of general lighting is included in the rent paid for the allocated exhibition space. Outlet boxes for special lighting and equipment may be installed by exhibitor by prior arrangement. Subject to power loading tolerances.
13 Concluding provisions - Exhibitors will not be permitted to set up on the day of the exhibition. All stall set up must be carried out the day before the exhibition starts. No exhibits may be removed from the exhibition premises prior to last day of end without the special permission of the event organiser. Oral agreements, in particular those concerning the modification of these conditions, will be subject to the written approval of the event organiser. Exhibitors and/or sponsors may use the conference/exhibition, within the agreement, to promote their own products and services while refraining from addressing or referring to the competition in any detrimental way. FMCE Africa reserves the right to change any of its General Terms and Conditions at any time and without notice.
All prices are exclusive of VAT. Organisations registering are subject to tax liabilities of the country the exhibition is held.

Any exchange of space between two exhibitors will be subject to the approval of the event organiser. The contract becomes effective upon receipt of the completed and signed booking form and legally binds both parties to the contractual duties of the terms and conditions, unless it is annulled in writing by the event organiser. Within a week of receiving the signed booking form, a confirmation of receipt will be sent either by e-mail or by fax; therefore it is compulsory to specify correct contact details in the booking form. The conference is hosted by FMCE Africa which reserves the right, at its sole discretion and without further explanation, to limit or deny access to any entity or individual to the said conference. When registering for any of FMCE conferences, applicants waive the right to appeal against any decision made by FMCE Africa to refuse or limit access to the conference.
2 Cancellation of contract
2.1 Cancellation by exhibitor The exhibitors’ application is considered binding. The exhibition contract becomes effective with the receipt of the completed and signed booking form as stated under paragraph 1. Once they have submitted a binding application form, applicants cannot be discharged from their contractual duties. Exhibitors who cancel their participation by registered mail up to 12 weeks prior to the first day of the conference will be charged 50% of the full stand rental fee. Thereafter the full amount is payable. With the cancellation exhibitors renounce their booth.
2.2 Cancellation by the event organiser If the event organiser, for whatever reason, except for Force Majeure, fails to fulfil its contractual obligation concerning the allocation of exhibition space, the exhibitor will be entitled to reimbursement of the full amount of rent paid.
3 Force Majeure Cases that fall under the category of Force Majeure are defined as war or riots, natural catastrophes or fire, epidemics or quarantine, strikes or lockouts, government sanctions or similar circumstances.
3.1 Cancellation of the event If the event organiser is prevented from pursuing its contractual obligations for reasons beyond its control that fall under the category of Force Majeure (as defined above), both parties are exempt from its contractual obligations. The event organiser will immediately inform the exhibitors should a case of Force Majeure occur. In any cases of a Force Majeure, all claims from any Exhibitors or Sponsors to the stand rental become void. The event organiser will claim costs for already incurred expenses as well as administration costs for work done. Moreover, FMCE will not accept any liability for any losses and/or damages due to a force majeure, thus the exhibitor has no claim to compensation.
3.2 Rescheduling of the event If the event organiser is in a position to hold the event at a later date, it must notify exhibitors immediately. Exhibitors are entitled to cancel their participation in the event that is rescheduled, provided that this cancellation is made within a week following receipt of the notification. In such cases, all claims to the stand rental become void. However, the event organiser will claim costs for already incurred expenses as well as administration costs for work done. Moreover, the exhibitor has no claim to compensation.
3.3 For events that have already commenced If the event organiser is obliged to shorten or cancel an event that has already begun, due to cases of Force Majeure, exhibitors are not entitled to assert claims for reimbursement or for exemption from the stand rental charges.
4 Allocation of exhibition space The event organiser will allocate the stands and try, wherever possible, to comply with the requests of the exhibitor. However, the event organiser cannot guarantee that all wishes will be fulfilled.
5 Construction of your stand - FMCE will not provide you with a stand build up service ahead of the exhibition. However, if you have a requirement stand build up services for the exhibition, please contact us at least one month before the event. Your stand builder will need additional information and different rules may apply. FMCE must be provided with a sketch of the stand. The final sketch of the stand needs to be approved by the event organiser as well as the venue.
6 Catalogue - The exhibitor’s profile and contact details will be listed in the exhibition catalogue. The fee for the catalogue entry is obligatory. The catalogue will be distributed during the exhibition.
7 Payment All fees are payable in Pula currency. The sponsorship, exhibition space that is not part of the sponsorship package and additional charges are payable as indicated on the invoice. The amount due, the deadline and payment method are specified on the invoice. Credit card payment (VISA or MasterCard) will be accepted up to the invoice amount of P15.000 without charge. FMCE Botswana reserves the right to refuse access to the exhibition spaces that have not been paid. FMCE Botswana does not accept payment by cheque.
8 Transport and delivery of exhibits - Exhibitors are free to employ their own forwarding agent. The event organiser shall not be held liable for loss or incorrect delivery or return of materials. The storage of crates or any other kind of packing material in the stand and in the exhibition halls is not possible because of fire regulations.
9 Advertising during the exhibition - Advertising is only permitted within the allocated exhibition space. Any exhibits / displays outside this allocated exhibition space will be subject to written approval from the event organiser. In the interests of all exhibitors, distributing flyers and other advertising material outside the stand will not be tolerated. The event organiser is entitled to prohibit unauthorised advertising without judicial order.
10 Liability and insurance Exhibitors must be insured against fire and theft. The event organiser will not be held liable for any loss of or damage to exhibits or equipment, for instance through fire or theft, regardless of whether this damage or loss is sustained prior to, during, or after the exhibition. The event organiser can only be held liable for damages caused deliberately or due to gross negligence by the event organiser, its employees, legal representatives or auxiliary persons. Liability for slight negligence is excluded. The exhibitors on their part will be held liable for any damage to persons or objects caused by them, their employees, and their representatives or by their exhibits or items of their equipment. The exhibitors also carry the full risk for their stand and exhibits.
11 Security and cleaning the exhibition area will be guarded on conference days between 19:00 and 8:00. However, no liability will arise from this for the event organiser. The daily cleaning of the passages in the exhibition halls will be arranged by the event organiser and is included in the rent.
12 Electricity The cost of general lighting is included in the rent paid for the allocated exhibition space. Outlet boxes for special lighting and equipment may be installed by exhibitor by prior arrangement. Subject to power loading tolerances.
13 Concluding provisions - Exhibitors will not be permitted to set up on the day of the exhibition. All stall set up must be carried out the day before the exhibition starts. No exhibits may be removed from the exhibition premises prior to last day of end without the special permission of the event organiser. Oral agreements, in particular those concerning the modification of these conditions, will be subject to the written approval of the event organiser. Exhibitors and/or sponsors may use the conference/exhibition, within the agreement, to promote their own products and services while refraining from addressing or referring to the competition in any detrimental way. FMCE Africa reserves the right to change any of its General Terms and Conditions at any time and without notice.
All prices are exclusive of VAT. Organisations registering are subject to tax liabilities of the country the exhibition is held.
